Designing and Editing Rubber Stamps
A lot of companies use rubber stamps to mark the status or other information directly on a Document. Since all of the Documents within DocuPhaseare electronically managed and stored, Rubber Stamps must also be electronic. While you use Rubber Stamps via the Annotations toolbar in the Document Viewer, you can design and edit how the stamps read and appear by configuring your own customized Rubber Stamps.
In addition to the way the Rubber Stamps appear, you can use variables to insert the current date, time, User (ID), and/or (full) name of the person applying the stamp. User and/or Group Permissions may also be set for each Rubber Stamp.

To get to the Rubber Stamp Configurationscreen from the main header: Go to AdministrationCORERubber Stamps.

While the Rubber Stamp configuration screen (as shown/described above) provides information about how the Rubber Stamp has been designed, the Rubber Stamp Edit screen is where you set those properties to design the look and content of a Rubber Stamp:

NOTE
To get to the Rubber Stamp Configuration screen from the main header: Go to Administration Core Rubber Stamp.
On the upper right side of the Rubber Stamp Configuration screen:
1) Click to display the Edit Rubber Stamp screen.
On the Edit Rubber Stamp screen:
2) Enter a name (and content using variables) for the stamp.
3) Set color, font, style, and size.
4) Enable the Permissions option, if appropriate.
5) Click to save the new stamp, return to the Rubber Stamp Configuration screen, and add the new stamp to the list.

EXAMPLE
To get to the Rubber Stamp Configuration screen from the main header: Go to Administration Core Rubber Stamp.
In the list of stamps on the Rubber Stamp Configuration screen:
1) Click on the name of the Rubber Stamp you want to edit to display the Edit Rubber Stamp screen.
On the Edit Rubber Stamp screen:
2) Make changes to the settings, as needed.
3) Click to save the new stamp, return to the Rubber Stamp Configuration screen, and add the new stamp to the list.

NOTES
- The Permissions option must be enabled in order to set or change Permissions. Tell me more...
- To get to the Rubber Stamp Configuration screen from the main header: Go to Administration Core Rubber Stamp.
TIPs
- Select multiple, consecutive items in a list by either of the following methods: holding the Shift key, and clicking on items; or click on the first item you want selected, hold Shift, then click on the last item in the list you selected.
- Select multiple, non-consecutive or consecutive items by holding the Shift key, and clicking on items.
From the Rubber Stamp Configuration screen:
1) Click to display the Rubber Stamps Permissions screen.
To set individual User Permissions:
2) Click the User Permissions tab (if it is not already displayed).
3) Select the User(s) that should have access to use the designated stamp.
and/or
To set Group Permissions
4) Click the Group Permissions tab, and select the Groups that should have access to use the designated stamp.
and/or
If anyone already has access to the designated stamp:
5) Click on the Effective Permissions tab to view highlighted User names.
Once all changes are completed:
6) Click to store the changes and return to the Rubber Stamps Configuration screen.

WARNING!!!
Use this deletion functionality with care. Once you delete something, it cannot be recovered: you will need to recreate it.
NOTE
To get to the Rubber Stamp Configuration screen from the main header: Go to Administration Core Rubber Stamp.
In the list of stamps on the Rubber Stamp Configuration screen:
1) Click on the name of the Rubber Stamp you want to edit to display the Edit Rubber Stamp screen.
On the Edit Rubber Stamp screen:
2) Click to display a Confirmation prompt asking you to be sure you want to delete the stamp.
In the prompt:
3) Click to delete the stamp, return to the Rubber Stamp Configuration screen, and remove the stamp from the list.
