Search Page Introduction

The Application pane provides the ability to easily locate documents in DocuPhase using the Search Page that allows you to select the DocuPhase Application you wish to search by using the ‘APPLICATION’ drop-down list (e.g., the PO Application, Checks Application, etc.) and entering your desired search criteria, as shown below.

 

By Entering your desired search criteria (e.g., PO Status = “Rejected”),

 

 

Then clicking Search, returns a list of matching documents for you to view and process, as shown below.

 

 

By using the Query Manager features, Search Queries can also be:

      Saved as “My Queries”,

      Marked as your “Favorites” for your quick access and

      Your queries and queries established by other users can be “Shared”

 

Using the Query Manager tabs located at the bottom of the Search Page, as shown below for the “POs > $1000” saved query definition being executed by a single click.

 

 

The following table describes the functional elements on the Search Page.

Description

Application Selector

Select the DocuPhase Application to be searched from the list of Applications you are permitted to search.

 

Display Fields

The Display Fields icon allows you to checkmark the selected Application’s index fields that you wish displayed as the search criteria.  Click Update to save your index field selections.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Clear Fields

Clicking the Clear Fields icon blanks all of the existing index field values in the search criteria so you can enter a new search criteria.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Search Criteria

 

Enter your search criteria in any combination of the fields to create a search expression that logically ANDs each of the index fields that are used to specify the search criteria for finding matching documents in the selected DocuPhase Application cabinet.

A Blank Search Criteria can be used to match ALL documents in the selected DocuPhase Application cabinet.

Object Status

Object Status is an important DocuPhase Systems index field that controls how documents are processed and passed among DocuPhase modules.

 

Checked Out by User

This special System index allows you to locate “All” checked-out  documents or those checked-out by the specified user you select.

Records Per Page

The Records Per Page control allows you to select the number of rows that will be returned per page on the search Results Page.

 

Search Button

The Search button is used to launch a search from the Search Page and they are typically provided at both the top and bottom of the search criteria when a number of search index fields are present.

This is convenient when scrolling is needed on the Search Page.

Query Manager Tabs

The My Queries Tab provides you with convenient access to your personal queries that you defined or are available as Shared Queries, as shown below.

 

You may also use Query Manager to create new personal and saved named query definitions.

By toggling the gold star icon, you can set a named saved query as one of your favorites (bright star) or reset it to a non-favorite with another click to appear with a dimmed star.

The My Queries Tab also provides you with the ability to define and save your own re-usable queries as well as the option to create Shared Queries that you and other users can share, as shown below.

 

 

Note: You may share one of your queries by placing a checkmark in the Shared-checkbox on the My Queries Tab before you Save or Update a query definition.

 

The Shared Tab displays a list of queries that can be shared by you and other users and may have been created by you or others.

 

Global Search

The Global Search feature appears when you have permissions to use it and it provides access to multiple DocuPhase Applications. 

A global search for “FredEx” is entered and launched by clicking the global-search icon ().

The Global Search does its matching across each of the check-marked  types of objects in the DocuPhase ECM which are selected in your Preferences>Global Search Preferences Tab.

The Global Search returns a search Results Page that is grouped by each of the permitted DocuPhase Applications for the current user  where matches were found.

 

Logout

Select the Logout icon to exit the DocuPhase web-based application.

 

DocuPhase

Select the DocuPhase icon to view the DocuPhase Corporation website.

 

Help

Select the Help icon to launch the web-based DocuPhase Products Help System that provides you with an integrated library of help topics for the DocuPhase Platform.

 

The Table of Contents provides access to topics in each manual, Index Search and Word Search features allow you to find the information you need quickly online.

Top-level topics for DocuPhase Platform manuals provide a “View PDF” link that allows you to view, access and even save to download the corresponding manual in PDF format.

Info

Selecting the Info icon will link you to the DocuPhase Customer Portal.

Preferences

Selecting the Preferences icon will link you to the DocuPhase Preference Settings where you can configure your personal user profile, options and preferences.
